Item Info Tab Guide

When adding a new item through the + New Item button in the Items sub-module of the Inventory module, you are taken to the New Item screen (1), where you will start adding the item by entering the item's general information in the Item Info tab (2). Alternatively, if you are editing an existing item, you are taken to the Edit Item Info screen [same as (1) but with the name and category of the item listed instead of New Item] by clicking the Edit button next to that item in the Items list.

 

When adding/editing an item, there are only 2 required fields:

 

  • Item Name (3): Input the name of the item.
  • Category (4): Here, you can select an existing category either by scrolling through the drop-down list or by narrowing down the results as you type in which existing category you are searching for, or you can add a new category in one of two ways, Simple or Detailed (for more information on where to find/manage categories, see Categories Sub-Module Overview).
    • Simple (A) (shown below): Type in the name (i) of the new category that you want to add, then click on the second field that says "New Category" followed by the name (in bold) you just typed in (ii).
    • Detailed (B): Click Add Category to bring up the Add Category window, where you can customize in more detail the category that you want to add.

 

 

Once you have filled out those fields, you can save this item and move onto the next tab. If you want to add more details to this item, continue with the following fields:

 

(Note: To see the extra images mentioned in the field description, click on the blue letter in parentheses, for example "[as seen in the Appendix (image C)]". This will bring you to the Appendix of this article.)

 

  • Item Has Serial Number (5): Check this box if the item you are adding has a serial number. When adding a firearm, typically you will want to make sure this box is checked [checking this box expands the screen to show (42)].
  • Type (6): Select from the drop-down list what type of item you are adding (for more information on where to find/manage types, see Types Sub-Module Overview).
  • Caliber (7): If adding a firearm, in this field you can add calibers to the firearm by narrowing down the results as you type in which existing caliber you are searching for, or you can add a new caliber [as seen in the Appendix (image C)] by typing in the name (i) of the new caliber that you want to add, then clicking on the second field that says "Add" followed by the name (in bold) you just typed in, followed by an ellipsis (ii).
  • Action (8): If adding a firearm, in this field you can add actions to the firearm by narrowing down the results as you type in which existing action you are searching for, or you can add a new action [as seen in the Appendix (image D)] by typing in the name (i) of the new action that you want to add, then clicking on the second field that says "Add" followed by the name (in bold) you just typed in, followed by an ellipsis (ii).
  • Manufacturer (9): Select from the drop-down list the manufacturer of the item. If the manufacturer is not listed, you can add it by clicking Manage Manufacturers/Imports (E), which will bring you to the Manufacturers sub-module (see Manufacturers Sub-Module Overview).
  • Brand (10): Select from the drop-down list the brand of the item [this list is the same as (9), to add a new brand click (E)].
  • Importer (11): Select from the drop-down list the importer of the item [this list is the same as (9), to add a new importer click (E)].
  • Model (12): Input the model of the item.
  • Supplier (13): Here, you can select an existing supplier either by scrolling through the drop-down list or by narrowing down the results as you type in which existing supplier you are searching for.

 


   

  • UPC/EAN/ISBN (14): Input the UPC, EAN, or ISBN of the item.
  • Check Web Store (15): In order to make adding an item easier, you can click the Check Web Store button to have coreSTORE search your eCommerce platform (if you use an eCommerce platform) or Coreware's third-party UPC database (set up for customers who do not use an eCommerce platform) for an item with the UPC, EAN, or ISBN that you input in (14). If for some reason this does not bring up the right item or doesn't bring up an item at all, simply click on the Cancel button to return to adding the item.
  • Product ID (16): If your item has a product ID that is without the full specifications specified on the label (like a UPC, EAN, or ISBN), input it here (oftentimes this could be a SKU number or a part number).
  • Additional Item Numbers (17): If an item requires additional UPCs, EANs, ISBNs, or product IDs, add them here.
    • Item Number (F): Input the item number.
    • Delete (G): Click Delete to delete an item number.
    • Add item number (H): Click Add item number to add a new item number.
  • Tags (18): In this field you can add tags to the item by narrowing down the results as you type in which existing tag you are searching for, or you can add a new tag [as seen in the Appendix (image J)] by typing in the name (i) of the new tag that you want to add, then clicking on the second field that says "Add new tag" followed by the name (in bold) you just typed in (ii). You can also go to the Tags sub-module to add/manage tags by clicking Manage tags (K) (for more information, see Tags Sub-Module Overview).
  • Description (19): In this field you can input a short description if the item.
  • Long Description (20): Here you can type and format a more in-depth description of the item.

 


 

  • Weight (21): Input the weight of the item.
  • Dimensions (22): Input the dimensions of the item. In (L) input the length, in (M) input the width, and in (N) input the height of the item.
  • Is Barcoded (23): Check this box if the item is barcoded.
  • E-Commerce Shipping Class (24): No longer applicable, will be removed.
  • Sold In A Series (25): Check this box if the item is sold in a series (a pack of items/services that can be redeemed within a period of time). Checking this box will expand the screen to show (26) and (27). ?????
  • Series Quantity (26): Input the amount of this item that is sold as part of the series [this box will only show if (25) is checked]. ?????
  • Number Of Days Series Must Be Used Within (27): Input within how many days the series has to be redeemed [this box will only show if (25) is checked]. ?????
  • Is Service (28): Check this box if the item is a service (coreSTORE will ignore inventory for the item and hide the Inventory tab).
  • Is Membership (29): Check this box if the item is a membership.
  • Is Ecommerce Item (30): Check this box if the item is an eCommerce item.
  • ECommerce Id (31): If the item is an eCommerce item, this field will be auto-generated.
  • Cannot Dropship? (32): Check this box if the item is not able to be dropshipped.
  • Allow Alt Description (33): Check this box to allow for adding an alternate description of the item directly in the Sales interface.

 


 

  • Used (34): Check this box if the item is used.
  • Exclude From Profit Report (35): Check this box to have the item not included on profit reports.
  • Rental Item? (36): Check this box if the item is a rental item.
  • Single Rental Item? (37): Check this box if this item can only be rented by one customer at a time. ?????
  • Color When Rented? (38): Use the color picker tool [as seen in the Appendix (image O)] to choose the color that you want the item's grid button to be when the item is currently being rented. Alternatively, if you know the color hex of the color that you want to use, you can input it here instead of using the color picker tool, for example #3498db [the color hex that represents the color of the color hex shown (#3498db)].
  • Last Rental Start Date (39): This field will be auto-populated depending on the start time of the last rental of this item. However, you can also do it manually. Input the date and time of the start date of the last time the item was rented, or use the calendar (i) and/or time tools (ii) [as seen in the Appendix (image P)], to select a date and time.
  • Last Rental End Date (40): This field will be auto-populated depending on the end time of the last rental of this item. However, you can also do it manually. Input the date and time of the end date of the last time the item was rented, or use the calendar (i) and/or time tools (ii) [as seen in the Appendix (image P)], to select a date and time.
  • Last Rental Sale (41): Input the sale ID of the last rental of the item. ?????

 


 

  • Serial Numbers (42): If you checked the Item Has Serial Number checkbox (5), the screen will expand to show this option, where you can add serial numbersto the item.
    • Serial Number (R): Input the serial number.
    • Cost Price (S): Input the cost price of the serial number.
    • Price (T): Input the selling price of the serial number.
    • In Stock (U): If you are using the Bound Book module, the status of the Bound Book entry will be shown here.
    • Delete (V): Click Delete to delete the serial number.
    • Add Serial Number (W): Click Add Serial Number to add a new serial number.
  • Requires Age Verification (43): Check this box to require the age of the customer to be verified when selling/renting out the item. Checking this box will expand the screen to show (44).
  • Required Age (44): Input the how old the customer has to be in order to purchase/rent the item [this field will only show if (42) is checked].
  • Custom Field (45): If you have created any custom fields for items, the custom fields will show here (for more information on how to create/manage custom fields, see Customizing Your coreSTORE Using Custom Fields).
  • Save (46): Make sure to click the Save button when adding an item. This will automatically save the item, adding it to your inventory and bringing up the Variations tab (for more information about this tab, see Item Variations Tab Guide) of the Edit Item screen. If you are editing an existing item, clicking the Save button is also important. However, instead of automatically bringing you to the Variations tab, it will save your changes then pop-up a dialog asking if you would like to continue editing the item by clicking the Continue Editing button (dismissing the dialog, keeping you on the Item Info tab of the Edit Item screen), or return to the Items sub-module by clicking on the Return to Items button.
