Accessing the Inventory Tab

After adding an item by saving the changes you made on the Item Info tab (for more information about the Item Info tab, see Item Info Tab Guide), coreSTORE will automatically bring you to the Variations tab (1) (for more information about the Variations tab, see Item Variations Tab Guide). After you add variations, or if you decide not to add variations, you can click Inventory (2) to be brought to the Inventory tab.

If after the Variations tab you went to the Pricing tab (3) and added pricing details, you will automatically be brought to the Inventory (2) tab after saving the changes you made on the Pricing tab (3) (for more information about the Pricing tab, see Item Pricing Tab Guide).

Alternatively, if you are editing an existing item by clicking on the Edit button next to the item in the Items list (for more information, see Items Sub-Module Overview), you will initially be brought to the Item Info tab (1). Click Inventory (2) to be brought to the Inventory tab.

[Note: If you need to return to the Items sub-module of the Inventory module, either select the Inventory module from the sidebar or click the Done button (only available if editing an existing item).]

 

Inventory Tab Overview

The Inventory tab consists of the Inventory (1) and Inventory Data Tracking (2) tabs.

[Note: Depending on where the item you are adding/editing is located in the Items list (see Items Sub-Module Overview), you can move to the other items in the list by using the Previous/Next Item buttons (3). Depending on the location of the item, you will see either the Previous Item or Next Item button or both.]

 

Inventory Section Guide

Every item in your Inventory will have the same first three options in this section.

  • Reorder Level (1): Input the minimum amount (reorder level) of the item such that, when stock falls to this amount, coreSTORE will issue a purchase order to replenish the amount on hand. For example, if you input 5 here, when there is only 5 of this item left in your Inventory, a purchase order will be created for the item.
  • Replenish Level (2): Input the minimum amount (replenish level) of the item such that, when stock falls to this amount, you will know to add more of the item to your inventory in the store [if you want to receive an email to alert you when the item reaches this level, enable the Stock Alert Email option in the Company > Locations > Edit > Under Item Info scroll down to Receive Stock Alerts > Save (for more information, see How to Configure Locations)]

 

Depending on whether variations have been added to the item in the Variations tab (see Items Variations Tab Guide), the remaining options in this section will be different.

 

  • If the item does nothave variations, you will see the following options:
    • Current Quantity (4): This field will show how many of the item are currently on-hand. You can also edit this quantity by changing this number or adding a new number.
    • Quantity On Order (5): This field will show how many of the item are currently on order via a suspended purchase order. You can also edit this quantity by changing this number or adding a new number (if you do change this number, it will not change the suspended purchase order, you will have to edit the purchase order manually).
    • Quantity Committed (6): This field will show how many of the item are currently included in suspended sales. You can also edit this quantity by changing this number or adding a new number (if you do change this number, it will not change any suspended sales including this item, you will have to edit the sale manually). [Note: This number only changes if the suspended sale is of a type that is set to Commit under Update Inventory in the Suspended Sales/Layaways section of the Company Settings module (for more information about this section, see Suspended Sales/Layaways Section Guide).]
    • Inventory To Add/Subtract (7): When you edit the quantity in (4), this field will show how the edit will affect the inventory (how many of the item will be added to or subtracted from the inventory). You can also edit the quantity in (4) by inputting how many of the item you want to add to or subtract from the Current Quantity on-hand. For example, if you want to add 5 to the Current Quantity, you would input 5 here, and it will add 5 to the Current Quantity automatically. If you want to subtract 5 from the Current Quantity, you would input -5 here, and it will subtract 5 from the Current Quantity automatically.
    • Comments (8): In this field you can add notes about the inventory, for example to explain any changes made to the inventory.

  • If the item does have variations, you will only see the Variations (9) option. Within this option, you will control inventory for each variation of the item individually (for more information about variations, see Items Variations Tab Guide).
    • Name (A): The name of the variation will be listed here.
    • Item Attributes (B): The item attributes that make up the variation will be listed here.
    • Item Number (C): The item number of the variation will be listed here.
    • Reorder Level (D): Input the minimum amount (reorder level) of an item with this particular variation such that, when stock falls to this amount, coreSTORE will issue a purchase order to replenish the amount on hand [this field only controls the items with a particular variation, it does not affect the main item's Reorder Level set in (1)]. For example, if you input 5 here, when there is only 5 of an item with this particular variation left in your Inventory, a purchase order will be created for the item.
    • Replenish Level (E): Input the minimum amount (replenish level) of an item with this particular variation such that, when stock falls to this amount, you will know to add more of an item with this particular variation to your inventory in the store [this field only controls the items with a particular variation, it does not affect the main item's Replenish Level set in (2)] [if you want to receive an email to alert you when the item reaches this level, enable the Stock Alert Email option in the location's profile (for more information, see How to Configure Locations)].
    • Quantity (F): This field will show how many of an item with this particular variation are currently on-hand. You can also edit this quantity by changing this number or adding a new number.
    • Inventory to add/subtract (G): When you edit the quantity in (F), this field will show how the edit will affect the inventory (how many of an item with this particular variation will be added to or subtracted from the inventory). You can also edit the quantity in (F) by inputting how many of an item with this particular variation you want to add to or subtract from the Current Quantity on-hand. For example, if you want to add 5 to the Current Quantity, you would input 5 here, and it will add 5 to the Current Quantity automatically. If you want to subtract 5 from the Current Quantity, you would input -5 here, and it will subtract 5 from the Current Quantity automatically.
    • Comments (H): In this field you can add notes about the inventory of this variation, for example to explain any changes made to the inventory of this variation.

 

Inventory Data Tracking Section Guide 

Every single time that you interact with an item's inventory, coreSTORE tracks any changes made to the inventory.

  • View Report [Last 7 Days] (1): Click the View Report [Last 7 Days] button to view a Detailed Inventory Report for the last 7 days of changes to the inventory of this particular item.
  • View Report [Last 30 Days] (2): Click the View Report [Last 30 Days] button to view a Detailed Inventory Report for the last 30 days of changes to the inventory of this particular item.
  • View Report [This Year] (3): Click the View Report [This Year] button to view a Detailed Inventory Report for the changes made to the inventory of this particular item during the current calendar year.
  • Inventory Data Tracking (4): This field lists the date and time of each change to the inventory.
  • Employee (5): This field shows which employee made the change to the inventory.
  • Variation (6): This field shows which variation of the item, if any, the change was made on.
  • In/Out Qty (7): This field shows how many of the item was added to or subtracted from the inventory. For example, if the change added 5 of the item to the inventory, there will be a 5 here. If the change subtracted 5 of the item from the inventory, there will be a -5 here.
  • Quantity in stock (8): This field shows how many of the item is on-hand after the change made to the inventory.
  • Remarks (9): This field will show different information depending on where the change to the inventory was made.
    • If the change to the inventory was made using this tab, any comments added to the Comments option of the Inventory section at the time of the change will be listed here in green. You can edit the comment by clicking on the content of the comment, which you can tell apart from the other types of information because it will be underlined with blue hash-marks.
    • If the change to the inventory was made in the Sales module (including returns, unsuspending and resuspending a sale, or after a sale is completed), the Sale ID of the sale will be listed here in red.
    • If the change to the inventory was made in the PO & Receiving module (if a receiving is edited or completed), the Receiving ID of the receiving will be listed here in green.
  • Print (10): Click the Print button to print the inventory data tracking list.
