Customizing Your coreSTORE Using Custom Fields

In order to fully customize your experience with coreSTORE, you have the ability to setup custom fields within coreSTORE to fit your needs. You can create custom fields in many of coreSTORE's different modules, including Inventory (for Items and Item Kits sub-modules), Work Orders, Sales, PO & Receiving, Bound Book, Customers, Suppliers, and Employees.

 

Accessing the Custom Field Configuration Screen

 

In each the aforementioned modules, there is a "..." menu button (1), opening a drop-down menu for extra options for interacting with each module. To setup a custom field, select Custom Field Configuration (2) from the drop-down menu.

 

 

This will bring up the Custom Field Configuration screen. For each module, you can create up to 10 custom fields. The InventoryWork Orders, Sales, PO & Receiving, and Employees modules have the same custom fields setup, but the Bound Book, Customers, and Suppliers modules all have their own versions. Use the Index below to view the version of custom fields setup that you need.

 

Setup Custom Fields for the Inventory, Work Orders, Sales, PO & Receiving, and Employees Modules

 

In order to create a custom field in the Inventory, Work Orders, Sales, PO & Receiving, and Employees modules, fill out the following:

 

  • Name (A): Input a name for the field. This is how you will know the reason for the field when adding a new item, work order, sale, etc.
  • Type (B): Select from the drop-down list below (F) which type of field you are creating (Text, Dropdown, Checkbox, E-Mail, Website, Phone Number, Date).
  • Show On Receipt (C): Check this box if you want this custom field to show on receipts.
  • Hide Field Label (D): Check this box if you do not want the name of the custom field on receipts.

Once you have created the custom field, remember to click the Save button (E).

 

 

Note: If you select Dropdown (a), the type field will expand, and in the second part of the field (b), you will input each value you want to select from when using this drop-down list. When you input a value, click Add New Value (c) to add that value to the drop-down list (d). Repeat as needed until all of the values you want included in the drop-down list are listed.

 

 

Setup Custom Fields for the Bound Book Module

 

In order to create a custom field for the Bound Book module, fill out the following:

 

  • Name (A): Input a name for the field. This is how you will know the reason for the field when adding a new Bound Book entry.
  • Type (B): Select from the drop-down list below (G) which type of field you are creating (Text, Dropdown, Checkbox, E-Mail, Website, Phone Number, Date).
  • On Which Tab To Place The Custom Field (C): Select from the drop-down list below (H) which tab of each Bound Book entry you want the custom field to be located (Item, Acquisition, or Disposition).
  • Show On Bound Book Report (D): Check this box if you want this custom field to show on Bound Book reports.
  • Hide Field Label (E): Check this box if you do not want the name of the custom field on receipts.

Once you have created the custom field, remember to click the Save button (F).

 

 

Note: If you select Dropdown (a), the type field will expand, and in the second part of the field (b), you will input each value you want to select from when using this drop-down list. When you input a value, click Add New Value (c) to add that value to the drop-down list (d). Repeat as needed until all of the values you want included in the drop-down list are listed.

 

 

Setup Custom Fields For the Customers Module

 

In order to create a custom field for the Customers module, fill out the following:

 

  • Name (A): Input a name for the field. This is how you will know the reason for the field when adding a new customer.
  • Type (B): Select from the drop-down list below (G) which type of field you are creating (Text, Dropdown, Checkbox, E-Mail, Website, Phone Number, Date).
  • Show On Receipt (C): Check this box if you want this field to show on receipts.
  • Show On Sales Screen (D): Check this box if you want this field to show on the Sales screen after selecting a customer.
  • Hide Field Label (E): Check this box if you do not want the name of the custom field on receipts.

Once you have created the custom field, remember to click the Save button (F).

Setup Custom Fields For the Suppliers Module

 

In order to create a custom field for the Suppliers module, fill out the following:

  • Name (A): Input a name for the field. This is how you will know the reason for the field when adding a new supplier.
  • Type (B): Select from the drop-down list below (G) which type of field you are creating (Text, Dropdown, Checkbox, E-Mail, Website, Phone Number, Date).
  • Show On Receipt (C): Check this box if you want this field to show on receipts.
  • Hide Field Label (D): Check this box if you do not want the name of the custom field on receipts.
  • Show on PO/Receiving Screen (E): Check this box if you want this field to show on the Receivings screen after selecting a supplier.

Once you have created the custom field, remember to click the Save button (F).

Configuring Custom Fields in List Columns

 

To display the custom fields in the columns of the Items, Item Kits, Work Orders, Bound Book, Customers, Suppliers, and Employees lists, check the checkboxes (A) next to the custom field name in the gear dropdown menu (B).

 

 

Where to Find the Custom Fields

 

Each module's custom fields show up in different areas of coreSTORE. To find these areas, select from the index below which module's custom fields you are looking for.

  

Inventory Custom Fields

 

After creating a custom field for either Items or Item Kits, there are 2 possible places where this custom field will show.

 

  • Bottom of the Item/Item Kit Info Tab on the New/Edit Item/Item Kit Screen: Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox when creating the custom field, you will see on the receipt the value that you input into the custom field (you are not able to change the value here).

Work Orders Custom Fields

 

After creating a custom field for Work Orders, there are 2 possible places where this custom field will show.

 

  • Bottom of the Edit Work Order Screen in the Additional Information Section: Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox when creating the custom field, you will see on the receipt the value that you input into the custom field, but only after adding the work order and before completing the work order (you are not able to change the value here). You can view this receipt by clicking on the work order's Sale ID in the Work Orders list.

 

Sales Custom Fields

 

After creating a custom field for Sales, there are 2 possible places where this custom field will show.

 

  • Bottom of the Sales Interface: After selecting an item in the Sales interface, the custom field will show up below the Comments field. Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox when creating the custom field, you will see on the receipt the value that you input into the custom field (you are not able to change the value here).

 

PO & Receiving Custom Fields

 

After creating a custom field for PO & Receiving, there are 2 possible places where this custom field will show.

 

  • On Receivings Interface Above Sub Total and Below Shipping and Handling Fees: Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox when creating the custom field, you will see on the receipt the value that you input into the custom field (you are not able to change the value here).

 

Bound Book Custom Fields

 

After creating a custom field for Bound Book, there are 2 possible places where this custom field will show.

 

  • Bottom of the New Record/Update Boundbook Screen: Here is where you will input the value for this field. This is the only place where you can change the value. Depending on your selection in the On Which Tab To Place The Custom Field drop-down list when creatingthe custom field, the custom field will show in a different place.
    • If you selected Item, it will show on the bottom of the Item Information tab:

  • If you selected Acquisition or Disposition, it will show on the bottom of the Acquisition/Disposition Information tabs above Files:

  • Bound Book Report Under the Bound Book Entry: If you checked the Show On Bound Book Report checkbox when creating the custom field, and the Include Custom Field Data checkbox on the Bound Book Report Options screen, you will see on the report the value that you input into the custom field (you are not able to change the value here).

 

Customers Custom Fields

 

After creating a custom field for Customers, there are 3 possible places where this custom field will show.

 

  • Bottom of the New/Update Customer Screen Above Files: Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox when creating the custom field, you will see on the receipt the value that you input into the custom field (you are not able to change the value here).

  • On the Sales Interface in the Customer Section: If you checked the Show On Sales Screen checkbox when creating the custom field, after selecting a customer in the Sales interface, the custom field will show up above the Internal Notes in the Customer section (you are not able to change the value here).

 

Suppliers Custom Fields

 

After creating a custom field for Suppliers, there are 3 possible places where this custom field will show.

 

  • Bottom of the New/Update Supplier Screen Above Files: Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox, you will see on the receipt the value that you input into the custom field (you are not able to change the value here).

  • On the Receivings Interface in the Supplier Section: If you checked the Show On PO/Receiving Screen checkbox when creating the custom field, after selecting a supplier in the Receivings interface, the custom field will show up in the Supplier Section (you are not able to change the value here).

 

Employees Custom Fields

 

After creating a custom field for Employees, there are 2 possible places where this custom field will show.

  

  • Bottom of the Employee Basic Information Section in the New/Update Employee Screen Above the Files Section: Here is where you will input the value for this field. This is the only place where you can change the value.

  • Receipts: If you checked the Show On Receipt checkbox when creating the custom field, and you did not check the Remove Employee Name From Receipt checkbox in the Receipt section of the Store Config module (for more information see Receipt Section Guide), you will see on the receipt the value that you input into the custom field (you are not able to change the value here).
